Labels, Vendors & Media
Labels — sticky notes for cars
Section titled “Labels — sticky notes for cars”Labels are sticky notes you stick to a car. Filterable, visible to everyone. There are a few kinds:
- Normal labels — Any tag. “Needs windshield.” “Customer car.” “Loaner.” Filter the dashboard by any label.
- Vendor labels — Sticky note plus a job. When you apply a vendor label, the assigned vendor gets a text. They reply “done” or mark it done in the app.
- Tech labels — Which technician is on the car right now.
- RO labels — The repair order number for this car.
Cars can have multiple labels. Filter the dashboard by any combination.
Managing labels
Section titled “Managing labels”In Admin → Labels, you can add new labels, edit existing ones, or archive ones you don’t use anymore.
Labels are per-dealership. Your set is yours.
For custom labels, just type any label name when applying it to a car — EasyRecon creates it on the fly.
Setting up a vendor
Section titled “Setting up a vendor”Two ways to give a vendor access to EasyRecon:
- As a user — Invite them like any team member. They log in with their own credentials. Use this for in-house staff or trusted external partners.
- As a label only — Set up a vendor label with their phone number. They never log in. When you apply the label to a car, they get a text. They reply “done” to complete the work. Use this for shops you don’t want managing accounts for.
Either way, the vendor label on the car shows pending/done status — so everyone on the team can see where things stand without asking.
Set up vendor labels in Admin → Vendors. Enter their phone number, what work they handle, and EasyRecon does the rest.
When you apply a vendor label to a car, the vendor automatically gets a text with the car details and a link.
Uploading photos and video
Section titled “Uploading photos and video”Click “Add Media” on any car. Take a new photo, take a new video, or pick from your camera roll. All media lives on the Media tab.
Once uploaded, you can:
- Tag a photo to a specific work item (so the approver sees the photo on the work item line)
- Use it in a Walk-around damage scan (below)
- Reference it in a note
AI photo caption
Section titled “AI photo caption”If turned on, AI auto-captions every photo. “Front bumper, minor scratch.” “Engine bay, oil leak.” Useful for searching photos later.
Enable in Admin → AI Features.
Walk-around damage scan
Section titled “Walk-around damage scan”From the Media tab, click “Walk-around scan.” EasyRecon’s AI looks through every photo on the car, finds damage, suggests work items, and offers to assign vendors based on the damage type.
You review the suggestions before they save. Nothing is auto-applied without your OK.
- Upload your walk-around photos to the Damage category in the Media tab.
- Tap Scan for Damage.
- Review the results. Each flagged area shows the photo, the location on the car, and a description.
- For each finding, approve it to create a work item, or dismiss it if it’s not real damage.
Approved findings become work items on the vehicle. Edit price and details before submitting them for approval.
